Migrating to Zotero

Before proceeding, make sure that Zotero is installed on your workstation. Requests for Zotero can be made through the IT Portal.

 
  1. Open Zotero. From the File menu in the upper left-hand corner, select Import.

  2. The Import box will ask where you want to import from. Select File (BibTeX, RIS, etc.) and Next.
     
  3. Select the file you exported from RefWorks and click Open.

  4. A box with the option "Place imported collections and items into a new collection" will appear. You have two choices:

    • Leave this option checked if you would like Zotero to place your citations into a new, automatically created folder. (Folders are called "collections" in Zotero)

    • Or, uncheck this box if you would prefer the citations to be imported into the "Unfilled Items" area of your Zotero library.

  5. If you opted to have Zotero create a new collection for your citations, you may rename it if you wish by right-clicking on the collection in the left sidebar and selecting Rename Collection. The default name of the collection is the same as the name of the file you imported.
  6. Your citations are now imported into Zotero and you can repeat this process for the other folders that you have saved.

Adding PDF Attachments 

  1. Highlight the reference you wish to attach a PDF to and right-click to choose "Add Attachment"
  2. Navigate to select the PDF file you wish to attach. Click Open.
  3. The PDF should now be attached to the reference in your library. 
  4. You can also drag any PDF into Zotero and it will attempt to match the metadata to an existing record.

Migrating to EndNote

Before proceeding, make sure that EndNote is installed on your workstation. Please be aware that personal copies of EndNote (and those that have been procured outside of AHS IT) cannot be installed on AHS workstations. Requests for EndNote can be made through the IT Portal and are subject to approval.

 
  1. Open EndNote. Select File -> New and create a name for your new library. Select location and save.

    • We recommend that you only create/maintain one library, as EndNote Online can only sync one library. A library can contain unlimited references and 5000 groups. 

    • The vendor does NOT recommend saving this library to a shared network drive (with read-write access) as it may become corrupted. Sharing libraries should be done with the EndNote Online feature.

  2. ​​If you want to keep your folder structure and have exported individual RefWorks folders to RIS files, you'll want to recreate these folders in EndNote first. On the EndNote toolbar, select Groups > Create Group. Enter a name for the group(s).
     
  3. Click the Import icon in the top toolbar. Click Choose to open a file browser window. Select the file you exported from RefWorks and click Open.undefined

  4. From the Import Option dropdown menu, select Reference Manager (RIS). Click Import.

  5. Your citations are now imported into EndNote. If you would like to place these citations into a group, proceed to step 6.

  6. Select all of the imported references by left-clicking on any reference in the Imported References group and then pressing CTRL+A on your keyboard. Right-click on the selected references and choose Add References To>'Group Name'. Your references should now be in the group you selected.

Adding PDF Attachments 

  1. Highlight the reference you wish to attach a PDF to.
  2. Go to the References menu and select File Attachments Attach File
  3. Navigate to select the PDF file you wish to attach. Click Open.
  4. The PDF should now be attached to the reference in your library. When you click away to another reference, you will be asked, "Do you want to save the changes you made to the reference?" Click Yes to save the PDF with the reference.
